Terms and Conditions

East Midlands Megagames runs on a not-for-profit basis as a means to foster and grow the megagame community. This means income covers venue hire, research and marketing, game components, and all sundry other expenses (like getting sandwiches for facilitators!). To that end we have a series of terms and conditions presented here to help protect all parties involved in East Midlands Megagames, including game designers, organisers, players, facilitators, contractors, and anyone else involved, etc.

Game registration 

When expressing a preference for a role or team in any megagame, we cannot guarantee any specific role or casting arrangement. Expressing interest prior to ticket purchase does not guarantee a place on the game, as game spaces are usually limited.

Group registrations should inform us of player names and email addresses beyond those of the person registering for the game. 

Age of attendees

As standard, we do not allow attendees below 14 years of age at events, and if an attendee is aged 14-17 they must be accompanied by an adult, and we should be informed of the presence of younger gamers when we ask you for casting questionnaire information. As we were young gamers once, we understand how exciting events can be though - there may be some occasions which allow for younger attendees, but as mentioned our minimum standard age of attendance is 14-17 with an accompanying adult.

Cancellations

With megagames, late cancellations can cause difficulties for the whole game. However, we understand that challenges happen in real life, so please notify us as soon as possible if you are no longer able to attend a game. 

If the full game payment has been made, and a player cancels more than a month (30 days) before the game, they will receive a full refund. If a player cancels between this period and one week (7 days) before the game, a ticket will be refunded its price minus a £10 admin fee for financial transaction costs and additional game organiser effort for locating replacement players. For cancellations within one week of the game, no refund will be given. In some instances we might be able to transfer a ticket to a future EMM game, but this is at organiser discretion based on circumstances.

We reserve the right to assign non-critical roles to players who frequently cancel at the last minute.

Casting and Roles

We encourage players to express preferences for specific or general roles, to increase the chance that we can place them in positions they will enjoy. However, we cannot guarantee that we will always be able to cater to player preferences. We will also try to group players, especially first-time players, with at least one other person they already know unless otherwise specified. 

Game Day

We will inform all parties of the relevant times so they can participate in a timely manner. Players are responsible for arriving at the venue on time and making themselves available for the duration of the game. We cannot delay or pause a megagame for individual players.

Alcohol and illegal substances 

Nobody wants to play with someone who is not taking the game seriously because they are drunk or high. East Midlands Megagames has a zero-tolerance approach towards illegal substances, and even if some game venues we hire may be adjacent to places that sell alcohol we kindly request you refrain from imbibing in any alcoholic beverages until afterwards when we go for the post-game social (often at a pub or bar). 

Behaviour 

It is expected that all parties involved in the running of a megagame will be courteous and respectful throughout the event; we understand that some game subjects and roleplaying can affect people in different ways and would refer anyone who is experiencing difficulty with this to a facilitator. 

We also condemn any use of bullying or prejudicial language against anyone else, and reserve the right to deny entry or ask people to leave if they exhibit such behaviour. 

Photographs

Photos may be taken on the day for megagame promotional purposes - this means some images of a game and attendees might be used by EMM for our social media, newsletters, website, flyers, banners, and similar purposes. Where someone has requested photos of them are not to be used, we will abide by this request. There may also be occasional uses in good faith of these images for other megagame promotional purposes, e.g. images being shared with MegagameAssembly.com for articles or presentations, or wider awareness-raising of the megagame hobby such as at a UK Games Expo megagame stand.
